Explaindio 5 AI: Privacy Policy
1. Who this is about
This policy covers three groups of people:
- You, our customer, who uses Explaindio 5 AI.
- Businesses you look up, and the people whose work contact details appear on their websites.
- People who open a sample page or an opt-out page that you send.
The company responsible is Explaindio LLC, 41 Watchung Plz, Ste #252, Montclair, NJ 07042. Contact: our support team.
2. What we collect about you
- Your account: your name, email address and login details.
- Your purchases: what you bought and when. Payments are processed by WarriorPlus; we don't receive your full card details.
- Your sender details: the name, business, reply email and postal address you add, plus the optional booking link and "about you" line. They appear on every email and sample page you send, because the law requires the sender to be identified.
- Your connected tools: the keys or sign-ins for the tools you connect (for example GoHighLevel, Instantly, Smartlead, or your own map key). We store them only encrypted, use them only to do what you ask, and delete them when you disconnect.
- Your work in the app: your searches, your list, the notes and replies you log, the emails written and sent, your videos and your sample pages.
- Your sign-ins and downloads: each time you sign in, and each time you download a video or file you made, we record the time, your IP address, your device and browser type, and which file it was.
3. What we collect about the businesses you look up
- Public business information: the business's name, address, phone and website, from public map sources.
- What its website shows: we check the business's public website (for example, whether it has a video, a security certificate or a contact form), and the contact details it publishes: an email address, a phone number, a contact form or a booking link.
- Map results from your own Google key are shown to you live and are not stored.
These contact details can belong to a person, like the owner's work email.
We process business contact details that a business publishes, so you can offer it a service (in the EU and the UK, this is our "legitimate interests"). Every email carries an opt-out, and a business can ask us to remove it at any time.
4. What we collect when someone opens a sample page or an opt-out page
- Sample pages: when someone plays the video, we record that it was watched, when, a one-way scrambled (hashed) version of the IP address and a general browser type. We don't store the IP address itself. This is how you see whether your sample was watched.
- Opt-out pages: when a business opts out, we record the opt-out so it's never contacted again from that account.
5. How we use it
- To run Explaindio 5 AI: find businesses, check websites, make sample videos and sample pages, write emails, and send them through the tools you connect.
- To enforce opt-outs: an opted-out business stays blocked for your whole account.
- To show you your allowance, your history and your sample views.
- To support you, keep the service secure, and prevent abuse.
- To keep the service secure, prevent fraud and handle payment disputes: we use your sign-in and download records, your purchase records and the time you agreed to our terms as proof of access if a payment is disputed.
We don't sell personal information. We don't use the businesses in your list to contact them ourselves.
We don't use your data, or the emails Explaindio writes for you, to train AI models.
Webinar signups, the free apps and our emails.
- What we collect: when you sign up for the free session or the free apps (the Local Video Gap Finder and the Website Video Check), we collect your first name and email address, the wording you agreed to and the time you agreed, and which session and app you signed up for. If you join the session, our webinar platform tells us that you registered, how long you watched and how far you got, and whether you used the chat or clicked the offer. If you write in the chat, the platform keeps your message.
- What the apps read: only public information: public map data to find businesses, and what a business's public website shows. The apps don't show anyone's contact details.
- What we send: the link to your free app, reminders for the session, and Explaindio tips and offers.
- Why we can: you agree to it when you sign up (consent). You can take that back at any time.
- How to stop: click the unsubscribe link at the bottom of any email, or contact our support team. We stop sending marketing emails right away. We may still send an email you need, like a receipt, if you buy.
- Who sends it: our email providers send these emails for us: GetResponse manages our mailing list, and Resend sends the app link. The webinar platform we use runs the session and sends your confirmation and reminder emails.
- How long we keep it: while you stay subscribed, or until you ask us to delete it. If you unsubscribe, we keep your email address only on a do-not-email list, so we don't email you again.
YouTube. If you connect a YouTube channel to upload your videos, Explaindio uses YouTube API Services. By connecting, you agree to the YouTube Terms of Service, and Google's use of your information is covered by the Google Privacy Policy.
- What we keep: a connection token (stored encrypted), your channel's name and ID, and the result of each upload you make through Explaindio (the video's title, description, privacy setting, YouTube's video ID, and whether it uploaded).
- Why: to upload the videos you choose to your channel, and to show you in Explaindio what was uploaded and whether it worked. We don't use your YouTube data for anything else, we don't sell it, and we don't share it with anyone except Google, which runs YouTube.
- How long: for as long as your channel stays connected.
- How to disconnect: in Explaindio, open Settings and click Disconnect next to your channel. You can also remove Explaindio's access at any time at myaccount.google.com/permissions.
- When you disconnect: we delete the connection token right away and tell Google to end Explaindio's access. We also delete your channel's name and ID and your upload history (the titles, descriptions and YouTube video IDs). We keep only a count of your uploads for each day, which the daily upload limit needs. If you remove Explaindio's access in your Google account instead, we delete the same data the next time Explaindio checks the connection.
6. Who we share it with
Stock photo searches: when you search the free stock photos and videos, our server sends the words you type to Pexels and Pixabay to find results. The preview pictures then load straight from their servers, which see your IP address and browser details, like any website does. When you add a photo or video to a scene, our server copies it for you. Nothing else about you is shared with them.
Only with services that help us run Explaindio, under contract:
- WarriorPlus: payments (your name, email and what you bought).
- Contabo: the servers that run Explaindio and its database.
- Backblaze: storage for your videos and files (in the US).
- Resend: delivery of the emails the app sends you (in the US).
- AI services: AI providers that write scripts, page text and email drafts, and make some pictures and videos. They are all outside China. They get only the text or pictures needed for the task, like a business's public website text.
- Microsoft: some narration voices (the words to be spoken).
- Cloudflare: delivering our web pages, including sample pages on your own domain.
- GetResponse and our webinar platform: our mailing list and the free session.
Some speech, voice and picture work runs on our own servers, not a third party's.
When you connect your own tools, we send them what you ask us to send (for example, the email and the business's contact) under your account with them.
7. Who is responsible for what
For your outreach, you decide which businesses to contact and what to send. You send it through your own email or the tool you connect, not through us. Each email carries your name, business address and an opt-out link, plus a short line saying why they're getting it, which you can edit or remove. You are responsible for your outreach. We run the service that helps you do it.
8. Your choices and rights
- You can edit your sender details and disconnect any tool at any time; disconnecting deletes its keys.
- You can remove businesses from your list (see section 9 for what we keep), and delete your videos and sample pages.
- You can ask us for a copy of your data, or ask us to delete your account, by contacting our support team.
- If you're a business owner and want your business removed, or never contacted again, use the opt-out link in the email you received, or contact our support team.
An opt-out blocks contact from the account that sent the email.
Depending on where you live, you may have the right to see, correct or delete your personal information. To use these rights, contact our support team. We may ask you to confirm it's you first.
9. How long we keep it
- Your account data: until you ask our support team to delete your account. A client workspace that an agency removes is deleted, with its files, 30 days later.
- Your videos and files: until you delete them.
- Businesses in your list and the log of what you sent: until your account is deleted. Removing a business hides it from your list; the record stays, so an opt-out keeps working.
- Contact details found for a business (names, email addresses and phone numbers): 3 years from when they were last checked or used, then deleted.
- Other business information from searches and website checks (like the business's name, address, website and what the check found): kept.
- Opt-outs: always kept, so the business stays blocked.
- Sample-page view records: until the sample page's record is deleted. We keep only a scrambled (hashed) version of the IP address, never the address itself. The video player's daily visitor count uses a scrambled code that's deleted after 3 days.
- Keys for connected tools: until you disconnect.
- Sign-in and download records: 24 months.
10. Security
We store connected-tool keys encrypted, show only their last four characters, and delete them when you disconnect.
We store a scrambled version of viewers' IP addresses, never the address itself.
Your own sign-in and download records hold your IP address itself, because they serve as evidence in a payment dispute. We use them only for security, fraud prevention and disputes.
11. Changes and contact
We'll post changes here, with the date. Effective date: October 3, 2026. Last updated: October 22, 2026. Questions: contact our support team.
